Accurate records protect both parties
Proper documentation serves several purposes, including, but not limited to:
- Providing proof of payment for the paying parent
- Helping the receiving parent track incoming support
- Preventing disputes about missed or late payments
- Simplifying tax reporting for both parents
- Assisting in modifying support orders if circumstances change
In Minnesota, the state’s child support enforcement agency typically manages child support payments. This system already provides some level of documentation. Yet, additional personal record-keeping is highly recommended.
How to properly document payments
When you document child support payments, make sure to note the date of payment, amount paid, method of payment (check, cash, electronic transfer) and receipt number or confirmation code (if applicable). Do not forget to record the names of both parents involved and your child’s name and case number (if assigned by the court).
While cash payments may seem convenient, they can be challenging to track. If cash is the only option, you and your ex-partner should sign a receipt for each transaction. This creates a paper trail, which protects both parties in case disputes arise.
Bank statements and canceled checks can serve as additional proof of payment, so keep these documents organized and easily accessible. You may create a dedicated file or digital folder for all child support-related paperwork.
